Offshore Bookkeepers guide

Create a bookkeeping document request tracker

Keep recurring requests organized with clear evidence standards, owners, deadlines, reminders, and escalation paths.

Keep recurring requests organized with clear evidence standards, owners, deadlines, reminders, and escalation paths.

The short answer

  • Ask for specific evidence.
  • Give every request an owner and deadline.
  • Escalate without losing the original request.

Standardize the request

Use one tracker with request ID, period, account, evidence needed, owner, date sent, deadline, status, reminder, and escalation. Avoid vague requests such as “send support.”

Explain the evidence rule

State why the item is needed and what an acceptable record looks like. The IRS recordkeeping guidance supports retaining documents that substantiate recorded transactions.

Keep reminders factual

The bookkeeper follows the cadence, records responses, and updates the status. The manager or owner decides whether to accept an alternative or waive a requirement.

Connect the handoff

Use the SOP handoff template and reviewer rules to make the tracker part of the close packet. Preserve the request history.

Review the queue

Inspect aged requests, repeat requesters, missing periods, and items that block reporting. Improve the source list after two cycles.

Questions owners ask

What makes a request useful?

Name the exact period, transaction, document, format, owner, and deadline.

When should support escalate?

Escalate after the written reminder window or sooner when the missing evidence blocks close or a control.

Keep planning
